The lawful bases we use to process data

We will only ever process your information if we have a lawful basis to do so. The lawful bases we rely on are;

Contract – This is where we process your information to fulfil a contractual arrangement, we have made with you.

The information we collect and how we use it

To process any orders that you place with us and to facilitate any returns (Contract)
  • We take payment details to process payment for any credit or debit card orders you place with us. We share these details with our chosen payment processors (for example Worldpay, Klarna or PayPal)
  • We use your account information plus your chosen delivery address details to; deliver your purchases and keep you informed of their status, and to process any returns including (where appropriate) collecting the item from you (for example Evri or Royal mail).
  • Our chosen payment processors may store your payment card details at your request to speed up your checkout in the future (consent).
To provide you with access to an account (Contract)
  • To register an account with us we capture information such as your name, contact and delivery information, and a password to protect your account (account information). We use the same information on an ongoing basis to manage and provide secure access to your account, and provide you with the services you request.
To provide customer service to you (Legitimate interest)
  • We record calls and keep correspondence (customer service records) when you contact our customer service teams or interact with us on social media. How long we keep your data for We keep your personal information as long as you are a customer of ours and generally for 7 years afterwards to comply with legal requirements. During that time, we take steps to remove any personal data as soon as we no longer need it.

We consider you a customer:

  • as long as you hold an open credit account,
  • for 2 years from the point, you last made a purchase from our website using a non-credit account, or
  • during any time, we are managing a customer service request from you.

Delivery Partners – Helping us to deliver the goods you order to you including our brand partners that dispatch and deliver goods to you directly.

IT Companies – Supporting us in maintaining our website and other business systems including; providing phone lines, data storage facilities, and providing and supporting Cloud based infrastructure used in providing our products and services.

We use technologies such as cookies, pixels, and device IDs – within digital marketing networks, ad exchanges and social media networks such as Facebook’s Custom Audience to get relevant marketing messages across to you.

Payment processors – Payment card processors to process credit and debit card payments and store payment information; for example, Worldpay and PayPal.

Keeping your personal data secure

We always ensure that personal data is secure by continuously developing our security systems and training for our employees. We have implemented appropriate technical and organisational security measures designed to protect your personal information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, unauthorised access, and other unlawful or unauthorised forms of processing, in accordance with applicable law.

If you use any third-party apps, websites or services to access our services, your usage is subject to the relevant third party's terms and conditions, cookies policy, and privacy policy. For example, if you interact with us on social media, your use is subject to the terms and conditions and privacy policies of the relevant social media platform (Facebook, Twitter etc.).

Your Order

Orders and Contract

Your order for goods is accepted and a contract is formed between Ethnoz and you when we despatch the goods you have ordered and not before. A contract is not formed at the point in time that payment has been taken from you by Ethnoz, nor at the point in time that you receive an email from Ethnoz acknowledging receipt of your order. Until the goods are despatched the order may not be accepted by Ethnoz, or may be cancelled by you.

Exceptions apply to orders for personalised/customized items and goods made to your order. The order cannot be cancelled by you once you have received an email confirmation that your order has been received, as such items and goods may already be in production as a result of your order. For a full list of exceptions to items you can return please see under the heading EXCEPTIONS TO THE RETURNS POLICY. Following formation of the contract, Ethnoz shall continue to own any goods ordered until it has received payment in full from you.

Cancelling Your Order

Under Consumer Regulations you have the right to cancel your order as long as you do so no later than 14 days after the day on which you receive the goods or service. You must inform us of your wish to cancel in writing either by letter, email or by using the cancellation form on the website or call 07564644484 within a period of 14 days beginning on the day after the day you receive your goods. You must take reasonable care of the goods and not use them. You should return goods to us in their original packaging, within 14 days of informing us of your wish to cancel. If you return goods to us, we will not be responsible for any loss or damage to them during transit and we recommend that you use a recorded or secure delivery method. If goods are lost or damaged in transit, we may charge you, or not refund to you, amounts that are attributable to the loss or damage. See RETURNS section for details of how to return goods to us.

We cannot accept substitute or alternative items by way of returns, nor are we able to send them back to you, so please look closely at the items you return to us. For full details of your rights under the Consumer Protection Regulations, please contact your Citizens Advice Bureau or a Solicitor. Courier Delivery

Standard UK Delivery

The estimated standard delivery to the UK destinations is delivered in 3-5 working days. Orders placed before 20:00 Hrs BST, Monday-Friday will be dispatched on the same day. Orders made after these times will be dispatched the following day. Orders placed on Weekends or bank holidays will be dispatched on the next working day.

The delivery charge to mainland UK is FREE on any orders. Delivery charges are applied to any orders on clearance sales.

Next Day Delivery

The standard next day delivery service applies to most orders placed before 20:00Hrs. All courier delivery services are subject to stock, courier area and availability and demand. When the standard courier service is not available, Ethnoz will deliver by an alternative carrier and this may take longer. This service is not available in Northern Ireland, mainland offshore islands and selected mainland areas. However, for we will try to offer available fastest service to a customer in special need if requested. Order before 20:00Hrs Monday-Friday for home delivery the next day. Orders placed between 20:00Hrs on Friday and Sunday will be delivered on Tuesday.

Specific delivery details will be confirmed at the time you order. Delivery times cannot be guaranteed. No delivery services are available on a bank holiday. Over our busy periods our standard delivery services may be affected, specific delivery details will be confirmed at the time of order.

The next day delivery cost will be calculated at the time of check out and the cost will be paid by the customer.

International Delivery

Estimated Delivery- 5-7 working days, Deliver Monday – Saturday. Please note, whenever you are ordering items internationally which are sent from the UK, you may need to pay any associated customs or handling fees.

Orders placed before 20:00 Hrs BST, Monday-Friday will be dispatched on the same day. Orders made after these times will be dispatched the following day. Orders placed on Weekends or bank holidays will be dispatched on the next working day.

A shipping confirmation is emailed to you as soon as your purchase has been shipped, which will allow you to track the status of your shipment. Your order will be delivered from Monday to Saturday. A signature will be required for some deliveries, so please make sure someone is at the delivery address to sign for the goods or send them to an address where someone will be available. Delivery times may vary, especially during peak periods. We will try to dispatch and deliver within the estimated time frame, however please take into consideration any weekends and national holidays.

Next Day Delivery- Excluded Post Codes

The next day delivery service applies to most orders placed before 20:00Hrs. The next day delivery service is only available in our personal courier areas and is subject to stock and courier availability and demand. When the personal courier service is not available, Ethnoz will deliver by an alternative carrier and this may take longer. Delivery times cannot be guaranteed. Specific delivery details will be confirmed at the time you order.

Delivery to Alternate Address

This service allows orders placed by credit account to be delivered to the account address as well as up to 5 other addresses. Additional delivery addresses can be added to your Account either during checkout or by logging into ‘My Account' and selecting the ‘Delivery Address' option. You must sign into your Ethnoz Account with your password to use this feature. Unfortunately, we are unable to deliver to workplace addresses. After the new address details have been entered, we will ask you to authenticate the new address against your billing address by entering your credit card details (the credit card must be registered to your billing address). Once this order has been successfully processed, you can start having items delivered to an alternative residential address. To enable us to deliver to a different address to your ‘Account Address' on some occasions we may require you to pay by credit card for your order when you checkout. The credit card must be registered to the Account Address. Alternative addresses will expire after 13 months if not used.

Returns & Refunds

Returns Via Courier

You may return most items in a new and unused condition and wherever possible in the original packaging. If tags have been removed, we may be unable to process a refund.

If you want to cancel/return your order you must do so within 14 days. The 14 days will start from the day after the items were delivered to your home address.

Return Shipping: Customers are responsible for the return shipping costs unless the return is due to a product defect or an error on our part. We recommend using a trackable shipping method for return shipments.

Refunds: Upon receiving and inspecting the returned item, we will process the refund. Refunds will be issued to the original payment method.

Reviews and Customer Ratings

These Terms of Use govern your conduct associated with the Customer Ratings and Review service offered by Ethnoz (the "CRR Service"). To the extent of any conflict between our Privacy Policy and these Terms of Use, these Terms of Use will take precedence in respect of the CRR Service.

All content that you submit may be used at our sole discretion. We reserve the right to change, condense or delete any content on our websites that we deem, in its sole discretion, to violate the content guidelines or any other provision of these Terms of Use. We do not guarantee that you will have any recourse through Ethnoz to edit or delete any content you have submitted. Ratings and written comments are generally posted within two to four business days. However, we reserve the right to remove or to refuse to post any submission for any reason. You acknowledge that you, not Ethnoz, are responsible for the contents of your submission. None of the content that you submit shall be subject to any obligation of confidence on the part of Ethnoz, its agents, subsidiaries, affiliates, partners or third-party service providers and their respective directors, officers and employees. By submitting your email address in connection with your rating and review, you agree that Ethnoz and its third-party service providers may use your email address to contact you about the status of your review and other administrative purposes.
